Privacy Policy
Effective October 8, 2026
This Privacy Policy explains how Clothe Our Kids of Ardmore (“we,” “our,” or “us”)
collects, uses, and protects information when you use our website and services, including
when school partners submit clothing requests on behalf of children and families.
Information We Collect
- Account information (partners): username, password (hashed), name, email, phone, organization, position.
- Request information: family last name, contact name and details, county, referral source, and per-child request details (e.g., age, age group, gender, school/grade, clothing sizes, notes).
- Operational tokens & logs: one-time access tokens for forms, timestamps, and internal references used to process requests and prevent abuse.
- Technical basics: standard web logs (IP address, browser, pages accessed) for security and reliability.
How We Use Information
- To review and fulfill clothing requests submitted by partners.
- To contact the referring partner or family contact about a specific request (e.g., to clarify sizes or delivery details).
- To maintain the security and integrity of our website (e.g., fraud and abuse prevention).
- To comply with legal obligations and our record-keeping needs.
Texts, Calls, and Emails
We may contact the email address provided on a request for the sole purpose of coordinating that request.
Children’s Privacy
We work to serve children’s clothing needs, but our website is meant for adults (e.g., school partners and
caregivers). We do not allow children to create accounts. Information about a child is submitted by a partner
or caregiver solely to fulfill the requested items.
Cookies & Analytics
We use only essential cookies needed to operate features like secure logins and request forms.
We do not use advertising cookies. If we add analytics in the future, we will update this policy.
Sharing Information
We do not sell personal information. We may share limited information with:
- Service providers that help us operate the website and communications (e.g., hosting, email).
- Volunteers or staff who assemble and deliver items for a specific request, on a need-to-know basis.
- Legal or safety needs, if required by law or to protect our organization, volunteers, or families.
Security
We use reasonable administrative, technical, and physical measures to protect information (for example,
hashing passwords and restricting access to request records). No system is 100% secure; please contact us
if you believe your account or information has been compromised.
Data Retention
We retain partner accounts and request records as needed to operate our program, comply with obligations,
and maintain accurate reporting. One-time form tokens expire or are marked as used after submission.
Your Choices
- Partner accounts: you may request updates to your account information or ask us to deactivate your account.
- Request information: contact us if you need a correction; some records may be retained for program integrity.
- Communications: contact us at clotheourkidsardmore@gmail.com with questions about request-related email.

This site is operated in the United States. If you access it from other regions, you consent to the transfer
of your information to the U.S. and the application of U.S. laws.
